Helpline EXTRA – Managing Pupil Attendance from 1 June 2020 Onwards

To manage registration for small groups of pupils who might now be attending, there are a variety of options. You can continue to record attendance in existing registration groups, or you can create new temporary class bubbles either by adding them as additional reg groups in the pastoral structure (teachers can then continue using take register) or by adding user defined groups – which can easily be accessed using Edit Marks by Admin Staff and Attendance Officers.
General guidance for absence codes to be applied for pupils from Year groups who can now attend school are:
- Y – Self-isolating
- Y – Shielding
- I – Illness involving COVID symptoms
- C – Choosing not to attend
There is another code for other pupils, including any pupil who is not in an eligible year group or priority group (children of critical workers and vulnerable children). This may also include children who are in an eligible year group but are not required in school for a specific session, i.e. Year 10 and Year 12 pupils who are not among the quarter of pupils expected in school at a given time. They should be recorded as code X (not required to be in school). Temporarily, code X can be used for compulsory school age children – usually it is only used where non-compulsory school age children are not expected to attend.
Please note: Capita have released a patch that enables the Y code to be entered from the Edit Marks screens in SIMS (by School Administrators and Attendance Managers). This patch has already been applied to all Centrally Hosted schools. The patch has also been released to Locally Hosted Schools via Solus 3, please speak to your technician if you would like the patch to be applied.
