Helplines EXTRA - Preparation for the School Workforce Census

Preparation for the School Workforce Census - Thurs 3 November 2016

The annual School Workforce Census (SWC) takes place on Thursday 3 November 2016.

Get prepared for the changes, ahead of time, by downloading and reading the following notes now:

Collect Guidance notes either:

COLLECT guide for Maintained schools or COLLECT guide for Academies

Download the DfE documentation which goes into greater detail regarding what information should be included in the SWC.

If you use the Cambridgeshire Payscales there is a new award file to download, containing Teachers Award September 2016 and non-teaching January 2016.

If you don't use the Cambridgeshire Payscales then the updates will need to be carried out manually.

Please note: Teaching Assistants should show as Teaching Support in the service term and not Support Staff.

Main changes to the 2016 School Workforce Census include:

  • Regional Pay Range is no longer being collected.
  • Pregnancy related sickness has been added to the code set for Absence Category.
  • Vacancy information is being asked for all teacher vacancies, not just those which require Qualified Teacher Status.
Please ensure you have already imported Fileset 403. This validation fileset could be updated between now and School Workforce Census day so please look out for notifications from The ICT Service Helpline.

We strongly recommend creating a 'dummy' census and uploading it to the Familiarisation area of COLLECT well in advance of School Workforce Census day.  This will enable you to investigate any failures or queries picked up by COLLECT.  The familiarisation blade closes at 4.00pm on Friday 28 October 2016.

The ICT Service Helpline staff are, as always, available to help you prepare and answer your questions so that you feel the least amount of stress on Census Day.
